The answer isn’t to prohibit. The answer is to govern intelligently.
1. Discover what’s already in use
Before you can set policy, you need ground truth. A short internal survey asking “Which AI tools do you use regularly at work?” typically reveals two to three times more tools than IT has on record. Combine this with conversations with team leads and a review of browser extension and app installation data.
This isn’t an audit designed to catch people out. It’s an audit designed to understand reality.
2. Set a lightweight, clear policy
Not a forty-page document nobody reads. A one-page set of principles that answers the questions your people actually have: What tools am I allowed to use? What data can I put into them? What do I do if I find a tool the team should use? Who do I ask if I’m not sure?
Red lines matter. There should be clear categories of data that never go into external AI systems. But the policy needs to be short enough that people actually read it.
3. Train for judgement, not just compliance
AI literacy isn’t a one-off training session with a tick-box at the end. It’s building your people’s capacity to make good decisions when the policy doesn’t cover their specific situation, because it won’t always. The goal is a workforce that understands enough about how AI works to use it well, not one that’s memorised a list of rules.
